Five signs a workflow is ready to automate

Automation pays off fastest on the right kind of work. These five signs help you spot the workflows worth automating first, and the ones to leave alone for now.

Every business has tasks that feel like they should run on their own. Some of them are excellent candidates for automation. Others would cost more to automate than they will ever save. These five signs help tell the difference.

1. It happens often

A task done twice a year rarely justifies automation. A task done twenty times a day almost always deserves a look. Frequency multiplies every minute you save.

2. The steps are mostly the same each time

If you can describe the process as a short list of steps that rarely changes, it can usually be automated reliably. If every case is different, start by standardising the process first.

3. Information is retyped between tools

Copying details from an email into a spreadsheet, or from a form into a CRM, is one of the clearest signals. It is slow, it introduces errors and it is exactly what integrations are for.

4. Mistakes are noticed late

When errors surface days later, during reconciliation or a customer complaint, automation can add checks at the moment data enters the system, where they are cheapest to fix.

5. People are waiting on each other

Handoffs between people or teams are where work stalls. Automatic routing, notifications and status updates can remove much of that waiting without changing who makes the decisions.

When to wait

  • The process is still changing every few weeks
  • The data it depends on is incomplete or unreliable
  • Each case needs careful human judgement, and the volume is low
  • Nobody owns the process well enough to say how it should work

If a workflow shows three or more of the five signs, it is usually worth scoping. Start with one, measure the time it takes today, automate it and compare. That single result is the best guide to what to automate next.
